Hi there, I’m Kayla Fahey-Ahrndt (aka KFA)!

My first days and months in a new career role looked like burnout…

I started out probably right where you are.

I was working 14-16 hour days in a new healthcare role, trying to prove my worth to make up for my lack of experience. I didn’t want to let anyone down, but I was burning out quickly and my relationships were rocky. I was wondering if my career was worth it…even though I had landed what I called “my dream job.”

Until I decided to make a change…and found a way to define career success for me!

I had a wake-up call when my hubby, then fiancé, asked if I even enjoyed being with him because I never came home from work on time.

I realized right then that I had better make a change and find a way to set healthy boundaries with my work. I knew I had to define what a successful day looked like for me - not based on what I thought others at work expected of me.

I knew that some day I wanted to be promoted from a technical role to supporting people more directly in their growth and development and lead a team of leaders. I also knew that I wanted to make more money, but I didn’t want to sacrifice my relationships or the idea of someday being a mom.

I decided to make a change, and I began my “how to make this easier and more fun” research by diving into professional and personal development podcasts, business books, and learning from other leaders and mentors. I even searched “Tips for young professional leaders” on Pinterest. (maybe you did too - no shade!)

I couldn’t relate to other professionals who preached that work had to be hard and you had to “put in the time” to be worthy of success. I knew my superpower was learning and that even though I didn’t have a lot of experience, I could still be a great teammate and leader.

So I took matters into my own hands and started a leadership podcast of my own. I started sharing my systems and strategies to create high productivity and accountability for myself without burning out. I found a way to create healthy work habits and got promoted from Technical Specialist to Supervisor (2017) to Manager (2018), and to System Program Manager (2019) in a matter of a couple years. SUPER QUICKLY!

I had people at work asking me - “How are you so productive and efficient?! I don’t understand how you and your team accomplish so much!”

The methods and strategies that I teach and still use to create a healthy yet super productive team work culture are time tested as I now have 12+ years of professional healthcare experience and 9+ years of leadership and management experience.

The practices and tools have given myself, and the many leaders I’ve trained, the confidence to kickstart their careers and do the most innovative and forward thinking things without overworking themselves.

I thought it was “normal” to work hard non-stop and work long hours. Everyone else was doing it, so I had to too, right?

  • When I started a new role, I thought it was normal to work 14 hours days and always be “on.”

  • I had a to-do list 3 notebook pages long, and I loved checking off items. But somehow, I never felt like I was doing enough.

  • I thought I was doing everyone a favor by tackling big projects by myself and never asking for help.

  • I quickly burnt out and was tired, irritable, and overwhelmed.

  • I resented the career I once found “fun" and called “my dream job.”

  • I had worked so hard to get a degree and certifications in my healthcare career, but…I wondered if it was all worth it…

I made a ton of mistakes when I first started my career…

1. I wasted time trying to figure out my job expectations, and I didn’t know how to get answers from my boss.

I spent my days “hoping” what I was doing day-to-day was the right thing - not realizing that I should have been given some sort of training or job description.

I tried to ask my boss for direction, but getting clarity on our team strategy was like pulling teeth. We were not on the same page, but I was being told I was “doing great.”

It didn’t feel great being unsure if I was actually meeting expectations. This caused me to work on a bunch of “urgent” tasks that were just the “flavor of the day.” So I started setting strategic goals for myself and aligning all my daily and weekly tasks to work toward making progress on those goals.

2. I would get frustrated when I felt like others on the team weren’t pulling their weight or doing what I thought their role should be doing.

Ever felt like this? I’m sure! But are each person’s job descriptions or responsibilities mapped out and visible to all on the team?

When new people come onto the team or teams re-organize, there should be some sort of accountability matrix. I felt that others who were in a similar role to mine were responsible for less and that my workload was unmanageable for a healthy work/life balance. I wasn’t able to demonstrate this in an objective way without sounding like I was complaining or judging other’s abilities to manage their workload. Clearly, I tried being a hero and superhuman, but I was burning out and unable to keep up. Why was this okay?

I started mapping out each role’s accountabilities and responsibilities and when they are consulted and informed.

3. I felt disconnected from my work when I felt like the tasks I was doing weren’t directly related to a higher purpose or in alignment with company values.

I had a solid “why” for being in healthcare, but there were some things that I was being asked to do that didn’t feel aligned with the company mission. When our organization set goals in specific areas, I realized that I could create my strategic goals based on those larger company goals.

I used this goal cascading strategy to eliminate work that didn’t feel like it aligned with those company values or goal areas. I was able to eliminate a ton of busy work by doing this.

4. I didn’t have a network of people I could ask for help or collaborate with to accomplish projects.

I often lacked the contacts I need to communicate specific workflow changes or to get work approved by adjacent teams. My boss would list off first names of people without ever explaining who they were or making warm introductions for me.

I quickly realized that I would need to make these connections myself.

As I learned who key stakeholders were, I created a stakeholder contact list and shared it with my team so that others would have it and we could keep it updated and share with new folks we onboard in the future.

5. I lacked leader support and didn’t have dedicated time with my boss to get help prioritizing my work or escalating barriers.

I would try to catch my boss in the hallway or when they’d pop their head in our team office when I stayed late in the evenings so that I could desperately get my ideas heard and ask for guidance.

There was never enough time to get all barriers escalated.

When I became a leader and eventually a leader of leaders, I knew how important dedicated time for my people was. I scheduled regular 1:1’s with each person and ensured my boss had dedicated time on their calendar for me. I prioritize this time with my people over meetings and other to-do items as having their trust and supporting them is most important.

6. I wasn’t clear about my communication preferences or my work boundaries.

I found myself taking phone calls from my evening and night shift at 10pm over things they could look up in our standard operating procedures or workflow documents. But instead they would call me for a quick answer because that was easier for them.

I would check work email at home, and I would be responding to non-urgent emails at 7 or 8pm out of fear of falling behind or thinking people wanted an immediate response. Some leaders on my team thought that meant I wanted a response late into the evening, when I actually didn’t! It was a vicious cycle.

I realized that whenever I felt triggered or frustrated, that was a sign that I needed to create a boundary. Instead of assuming people knew what my boundaries were, I communicated them clearly by sharing them with my team and being intentional about when I needed to flex or change them over time.

7. I had no idea how my performance would be appraised and how that would affect my salary and pay.

I knew I wanted to get a great performance review, but I wasn’t told how to achieve a meets, exceeds, or exceptional rating. Was there a rubric or definitions?

I tried to set my own goals, but I didn’t have any direction from my leader to know if those were aligned with the organization.

I learned about SMART goal setting and aligning my goals to directly impact the organization’s goals or found a way to articulate how my work positively affected the broader mission. I always knew what my performance review would be before going into the annual review because I would ask for feedback on my goal progress throughout the year.

8. I spent a ton of time checking to-do’s off my list, but struggled to make meaningful progress on bigger goals because I was always “putting out fires.”

I kept a huge list of to-do items and future ideas that never got any shorter. As soon as I checked something off, something else got added. I felt overwhelmed.

There were days when I kept getting pulled away from my work to support the team, but I didn’t have a system to re-schedule work I’d hoped to work on when instead I was putting out a fire or solving an urgent problem.

I discovered Leader Standard Work and built my schedule into blocks of time just to work on projects that were strategically aligned to my goals. I built in time for recurring tasks like email inbox management and daily huddles, AND I discovered the concept of leaving space on my calendar to allow for time with my team, space for interruptions, and flexibility between work tasks.

9. I fell into victim mode when it came to my professional learning at work.

I blamed my leader for not sharing development opportunities with me and took it personally.

I wished that interesting conferences or internal trainings would “come my way,” but that didn’t happen, and I became frustrated with the organization.

I realized that many people aren’t interested in professional development, so if I wanted extra opportunities or to take classes, I had to take accountability for my learning and seek out courses ask to shadow people I respected.

…but I knew it should be easier to create an awesome career that I loved, so I took accountability for my future.

From feeling helpless to taking control of my career success with simple systems…

I started asking for what I needed and wanted at work.

I started focusing on what I could control which was how I managed my mindset each day and the way I organized my work.

I got a promotion.

I remember interviewing at another company and realizing I did not want to leave the job I loved. I wanted to leave the way I had been doing the job.

I made a list of 3 things I wanted which was to grow and develop a team (I asked to be promoted to supervisor), mentorship and support from my boss, and opportunities for more learning. I knew at that moment that everything was about to change for me.

From there, my boss’ boss started noticing my work and placed me into new committees outside of my comfort zone. I got to see more and learn more. I started seeing a bigger leadership picture.

I knew the systems I put in place were working, and I had figured out how to do more with less energy. And I left gas in the tank at the end of the day for myself, my relationships with my eventual hubby, and ultimately I became a mom without stressing about taking time off or leaving on time.

In fact, I challenged myself to create a team culture where if I was not around, then the team could function without me. I planned for my own maternity leaves plus with the idea that someday, I’d like another promotion and to keep seeking new and exciting leadership opportunities.

A year after I sat down with my boss and asked for what I wanted and needed to feel fulfilled, I was recruited to create a brand new position which was a large promotion and included company/system wide accountabilities.

And the coolest part about this was that I went on maternity leave with my first baby right before stepping into that new, bigger, and more visible role. I didn’t worry a minute about it. Since then, I’ve had another baby and I’m about to have our third. My systems allow me to have work life balance and feel like I’m doing a good job in my career and at home.

With my systems, I am able to create flexibility, creativity, and high productivity into my work with ease.

Now, I have lead dozens of system wide company trainings for hundreds of leaders.

What if I don’t have the time to take a course?

I’m all about efficiency, so I’ve made the modules concise, but packed with info. You can take the course at your own pace and tackle the modules in any order. Plus I provide course lesson pages with scripts for exactly what to say or ask of your leader and check boxes so you can mark off action items I’ve given you as you go.

You’ll have access to this course forever, even if I should change course platforms (don’t worry!). So you don’t have to rush.

How long will the course take me to get through?

I personally think you could binge this whole course in a day if you wanted (not counting the bonus modules), but I think it’s most effective to watch and review material for 1 module and then work on completing the action items over the next week. Some of the templates are tools to help you gather information from your leader and team members, which means that those document are “living and breathing” and you’re always adding to them. So you can get started and keep updating them. If I had to advertise a number, I’d say this course if implemented thoughtfully is best completed over the course of 30 days or 1 month.

Will I have to purchase anything else once I buy the course?

Nope, but I do have another course that opens in the fall, 1 time per year, called Organized AF University that is for folks that are more advanced in their careers, have a leadership role, are leading leaders, and/or are leading a team. Hi, there!

I’m Kayla Fahey-Ahrndt, aka KFA!

Thanks for taking a moment to get to know me.

My story:

Hi, there! I’m Kayla Fahey-Ahrndt, MPH, MLS(ASCP)SBB (aka KFA)! Thanks for taking a moment to get to know me.

I have a Bachelor of Science degree in Clinical Laboratory Science from the University of Minnesota — Twin Cities with a national board certification in Medical Laboratory Science, and I’m a certified Specialist in Blood Banking. I also hold a Masters of Public Health from George Washington University.

I have 12+ years of professional healthcare leadership experience, and I have 9+ years of management experience. I currently work as a healthcare manager with system level oversite of a major service line.

Here’s a timeline of how I got started with this leadership and career coaching business! :)

2015…

Nine years ago, at age 25, I stepped into my first healthcare leadership role and was promoted quickly and became manager just before I turned age 28 (not to mention I was about to be a new mom—lots of change!).  I had a moment (okay, moments plural) where I knew I needed to learn and grow in order to succeed in my new role.

I didn't find the young professional leadership advice I was looking for from Google or Pinterest (I know you checked there too...). So I dove into learning from books on leadership, business, and personal development. I listened to podcasts, took up mentors, and interviewed folks at work who I found successful.

2018…

While on maternity leave with baby #1 (because I didn’t have enough to do ;)) I decided to start sharing my learnings, tips, and advice on leadership via my podcast, on Instagram, on LinkedIn, and to my colleagues. People started reaching out to me saying my tips really helped them and gave them the confidence they needed each day to find success.

2020…

Finally in summer of 2020, my hubby suggested I start a YouTube channel. I was a huge skeptic, but he encouraged me by getting me a microphone for my birthday, so I decided to create my YouTube channel and start sharing videos of myself giving advice in addition to my podcast. I felt like people needed human connection and during the COVID-19 pandemic, I thought adding video would help myself and others know that we’re in this together because they could "see me,” not just hear my voice.

Leading through tough times and change are skills leaders must hone in and continuously improve and adapt for their teams. 2020 has only reinforced that and I have found that my foundation of leadership skills, mindset, and teachings has helped me and my team get through and even excel during these ambiguous times.

2021…

In July 2021, I launched version 1 of my Leader Standard Workbook! It’s my Leader Standard Work Template PLUS all my other tools that I used daily as a leader — like 1:1 meeting notes, project lists, goal setting, yearly road map templates, etc. The first version was digital to be used in Goodnotes or OneNote on your tablet or desktop. Since then, I launched version 2 of the digital Leader Standard Workbook and I have a physical workbook too. All my templates can be found in my shop linked here.

October of 2021 brought baby #2 after working through fertility struggles, so now hubby and I have a full house of pitter patter feet all the time. Plus we have our 60 pound lab/boxer mix, lapdog who loves to sleep with us and give kisses… It’s quite the full season, but family is so important to us - even without the sleep and with the mess, we love it. :)

In December of 2021, again, while on maternity leave (see a pattern? haha) I partnered with Maxwell Leadership, and I am now a Certified Maxwell Leadership Team Member — specializing in Leadership Coaching, Public Speaking, and Team Trainings around growth and development.

I opened KFAconsulting, LLC and I rebranded my website and all my social channels to match or use my full name.
